The Data Protection legislation

The Data Protection legislation (The Data Protection Act 1998 and the GDPR 2018) regulates the processing of data. Organisations like KWA process personal data on a daily basis. The legislation requires us to give information about our data processing activities and how we deal with the information that we hold.

Personal data is defined as any information relating to a living individual from which he or she can be identified (such as a person’s name, address or date of birth).

The personal data that we collect on our website only consists of names and email addresses. The data we process generally in delivering our services includes: name, address, date of birth, gender, telephone number, email address, photos, videos and next of kin/ emergency contact details, psychometric data and any other information necessary for us deliver our services, including the necessary financial information required to provide the services that our customers require.

Data processing

Personal information is held on our database, in back-up form and in archive form. Hard copies of information on our database are occasionally made where necessary to provide our services. Photocopies may occasionally be made of manual records.

Access to our database is restricted through the use of passwords, and where possible data is held in a pseudonymised format. Data on participants is deleted after 6 months. We will only disclose information to our participating charities and suppliers to enable them to support participants’ immersion experiences or to provide part of our service. This will include transfer of information to our supplier in India, which is required to operate to the same controls as we operate, regarding processing of data. We will not disclose information to any third parties for marketing purposes.

We will maintain confidentiality of your information and aside from the categories already mentioned your information will not be disclosed to anyone else except where we are legally compelled to do so, where there is a duty to the public to disclose, where disclosure is necessary to protect KWA’s interests or where the disclosure is made with your consent or at your request.

We do not provide any facility on our website to facilitate purchasing any services via this Site. Details of your visits to this Site (including, but not limited to, traffic data and location data) whether this is required for our own purposes or otherwise, and the resources that you access.
